Staff: Preparing your Minerva modules

Last year a new Minerva template was implemented. Please review your semester 2 modules and make use of the provided template headings and menu items.

We have developed a guide on the new template which includes tips on how to move content efficiently and links to example modules so you can see how other staff at the University have organised their content into the new template.

Whilst reviewing your content, remember to remove or hide content copied from last year which students on the 19/20 module shouldn’t see! If there are menu items which you will not use, hide them. Read our information on the My Grades tool which provides students with an easy way to access their Minerva grades.

Top tip: Use the Student Preview function to ensure your module has no duplicate/empty menu items or folders.

Minerva Data Feeds

Part of the Minerva maintenance in December required our existing data feeds to be updated. The new feeds are in the final stages of testing and should be in place prior to the start of term, at which point data in Minerva will automatically be updated on a nightly basis. Until that point we will normally run updates to the data below twice a week on Tuesday and Thursday. We are updating:

  • Student and staff accounts
  • 19/20 staff and student module enrolments
  • Communications organisation enrolments

We won’t be updating merged module/organisation enrolments during this period.

If you require urgent access to a module or organisation, please contact your school to ensure Banner is updated where relevant and then contact the IT Service Desk, so that the enrolment can be processed manually.

We apologise for the inconvenience caused.

Comments are welcome, however if you need help or advice please contact the IT Service Desk on tel (0113) 343 3333, via the online contact form, or itservicedesk@leeds.ac.uk.

2019/20 Module Information

Modules for the 19/20 academic year will now show by default on the Teach tab in Minerva.  You can continue to access previous years’ modules by selecting the ‘Last Two Years or Everything’ box.

In preparation for the new academic year here are a few things you should consider, if you haven’t already:

Staff:

Check your rolled over 19/20 module before you make it available to students. Remember there are some kinds of content which cannot be copied automatically and these are all listed in our rollover guide  – you may have some updating to do.

Modules need to be made available to students so that they can access them. You can  make your module available by clicking the ❌ next to your module in the list. A tick means the module can be accessed by students.

And remember the 18/19 modules are for last year’s cohort: you shouldn’t use those anymore.

What’s new?

2019/20 modules feature a new module template. The new module template has been designed to encourage a consistent student experience across the University and to support meaningful engagement with students throughout their course.

Read our module template guide to find out more about the template and how to organise your content.

Comments are welcome, however if you need help or advice please contact the IT Service Desk on tel (0113) 343 3333, via the online contact form, or itservicedesk@leeds.ac.uk.

Reading Lists

Due to the complexity of migrating in excess of 500 thousand reading lists links to the new Library System, the migration process is taking longer than anticipated.

We are in daily contact with University colleagues undertaking this work and anticipate that Reading Lists will be available early next week.

Please accept our apologies for any inconvenience caused and thank you for your patience.

Students and staff are able to view existing reading lists via Minerva.

2019/20 Module Rollover

All modules due to run in 2019/20 have been rolled over, new modules have been created and enrolments have been added.

Where are my modules?

To see your 2019/20 modules, change the display of modules from This Year (18/19) to Everything (you may have to scroll through the list/use Search to find them).

The Modules view will default to 2019/20 after resit examinations have taken place.

Reading lists

As part of the Library systems project, staff are unable to edit or create reading lists via Minerva from Monday 15th July to Friday 26th July while the new Library catalogue is being brought into full service.

Students and staff are able to view existing reading lists via Minerva.

What’s new?

2019/20 modules feature a new module template. Students have told us that, of all the areas where there is room for improvement in online module content, consistency is the number one concern. The new module template has been designed to encourage a consistent student experience across the University and to support meaningful engagement with students throughout their course.

Read our module template guide to find out more about the template and how to organise your content.

Rollover FAQs

Instructors should be aware that not all content types can be rolled forward and modules will need tweaks or rebuilding for the new semesters. Content items may need reordering and adaptive release rules will need to be checked, particularly if you have used specific dates.

Please refer to the VLE Service Rollover guide for guidance on next steps and a list of FAQs.

Please note:
Organisations aren’t rolled, organisation spaces for 19/20 need to be requested. Further information is available in the Rollover guide.

2018/19 Module Rollover – staff enrolments available

2018 Staff Enrolments have now been added to Minerva and staff will now have access to their 2018/19 modules.

To see your 2018/19 modules, change the display of modules to Showing: Everything (you may have to scroll through the list/use the Search to find them). We will switch the default displayed year on the Modules tool to 2018/19 after resit examinations.

The 2018/19 feed from Banner will be automated by the end of the week, when normal nightly updates for staff will resume.

No student enrolments have been added yet; this feed will not be enabled until after resit examinations.

2018/19 Module Rollover

The Module Rollover for 2018/19 has been completed, and modules will soon be ready to be released to instructors. All modules due to run in 2018/19 have been rolled over and new modules have been created.

Where are my modules?

Modules will be made available to Instructors at the start of next week. A manual load of staff and student enrolments will be processed on Monday 18th June at 8am. Staff enrolments added in Banner by this time will be processed on Monday, and regular data feeds should be in place shortly after.

After the feed, to see your 2018/19 modules, change the display of modules to Showing: Everything (you may have to scroll through the list/use the Search to find them). We will switch the default displayed year on the Modules tool to 2018/19 after resit examinations.

What’s new?

2018/19 modules feature a new menu item called ‘Reading Lists’. This is an enhancement to the current Reading Lists tool in Minerva which staff use to create reading lists for their modules.

For students, the new menu item will point them to any reading lists available for that module on the Library website. If there are none, students will see a message directing them to useful Library resources instead.

For staff, the menu item will present a list of all reading lists on their module (created with the Reading Lists tool) with options to edit and instructions to delete. If the module has no reading lists, there will be instructions on how to create one or an option to confirm that the module will not have a reading list.

The method for creating reading lists is unchanged. Full guidance will be available later in the Summer.
