How can PhD students get staff access to modules?

PhD students often need staff access to modules to teach or grade and must get a staff IT username to use specialised tools such as Turnitin.

The student will get a staff IT username which needs to be associated to their staff ID number, meaning they can be enrolled via Banner.

Faculty IT will have to approve the IT user account and Central HR will have to provide the user with a Staff ID. Once this is finalised, enrolments will come from Banner overnight.

We recommend the Teaching Assistant module role for PhD Students. This allows them to edit the module/access the Grade Centre. Other roles are described in our roles guide.

Remember that if the student just needs to see a module but not edit or grade, staff on the module can enrol them as a student.

Comments are welcome, however if you need help or advice please contact the IT Service Desk on tel (0113) 343 3333, or helpdesk@leeds.ac.uk.

Staff: 16/17 modules and reminders for the new academic year

On the VLE homepage modules for the 16/17 academic year now show by default.  You can continue to access previous years’ modules by selecting the ‘Last Two Years or Everything’ box.

In preparation for the new academic year here are a few things you should consider, if you haven’t already:

Check your rolled over 16/17  module before you make it available to students. Remember there are some kinds of content which cannot be copied automatically and these are all listed in our rollover guide. You may have work to do.

Modules need to be made available to students so that they can see them. We have a guide for that too!

And remember the 15/16 modules are for last year’s cohort: you shouldn’t use those anymore.

VLE Home Tab – beta update

Some of you may have noticed that we have been trialling a beta version of a new module and organisation enrolment list on the VLE Home page since April this year.

The Modules list was re-developed to produce faster loading times, add in the ability for organisations to be searched in the same way as modules, while building in some changes suggested by School and Faculty VLE Reps.

This beta phase is now over. As a result of your feedback we have made one incremental change to the beta list: it now shows only the current year by default.

Some staff also fed back that entries are no longer remembered in the Search field when you log out of the VLE (filter persistence). While this feature was popular with some users, in practice it did cause a disproportionate number of issues for staff and students who would forget they were seeing a filtered list and would then have difficulty finding their modules.

However filter persistence still is a great idea and it would be useful if you could choose to remember your search terms if you want to – so it’s definitely on the todo list! (perhaps with a visual indicator to make it clear to users they were seeing a filtered list).

When we have development capacity, we’ll look at this again.

Thank you to everyone who gave feedback.

VLE Home tab: New enrolments tool

Today we have released a beta version of a new module and organisation enrolments list on the VLE Home page.

This has been developed to produce faster loading time for ‘power users’ and also builds in changes requested by School and Faculty Reps.

You’ll notice organisations now have their own tab and the list can be searched in the same way as the modules list. Staff will also see all of their module enrolments together, regardless of role.

The modules list shows the last 2 years by default, select ‘Everything’ to see older modules or those without a year.

An updated version of the guide is also available:

How can PhD students get staff access to modules?

Ideally PhD students should get a staff ISS username which is associated to their payroll number. Then they can be enrolled via Banner.

If this is not possible, please contact your Faculty VLE contact or the ISS Helpdesk requesting assistance with manual enrolments for postgraduate students who need staff access. We need:

  • The student’s ISS username
  • The module code they need access to
  • Confirmation that they are a PhD student
  • Confirmation that they should have the Teaching Assistant role

We recommend the Teaching Assistant module role for PhD Students. This allows them to edit the module/access the Grade Centre. Other roles are described in our roles guide. Tell us if you want a different role.

A member of staff who teaches on the module needs to approve these enrolments. We will not enrol students without confirmation from a relevant member of staff.

Remember that if the student just needs to see a module but not edit it, staff on the module can enrol them as a student.
